Role Summary
The successful applicant will oversee the daily operations of the Courier and Chauffer Center by coordinating, receiving and scheduling requests for courier or chauffer services. Supervise the Courier Driver crew; monitor the courier application and compile statistics and reports.
Main Responsibilities
1. Utilize technology to receive requests and enter them into the Geographic Information System (GIS) application.
2. Assess and prioritize each received request in terms of urgency and importance.
3. Assign daily work orders and provide information to and/or from courier and chauffeur officers and the relevant stakeholders using the provided technology.
4. Efficiently coordinate the schedule of all courier and chauffeur officers to ensure the timely delivery of services and products.
5. Oversee the route of each couriers and chauffeur officer and track the delivery status of requests.
6. Document courier related issues and consult with stakeholders in order to address questions, problems, and requests regarding product delivery or service.
7. Advise the Courier and Chauffeur Officers about traffic problems such as construction areas, accidents, congestion, weather conditions, and other hazards.
8. Record and maintain records of requests performed and other dispatch information.
9. Conduct daily inspections of vehicles and maintain records on the results of inspections at the beginning and ending of each business day.
10. Prepare regular reports on the operations of the centre.
11. Assist with the preparation and submission of Performance Planning and Appraisal report for staff.
12. Attend meetings, conferences, workshops and training sessions in order to obtain and provide information and updates.
13. Perform any other related duties as required by the supervisor or any other senior officer in order to contribute to the effectiveness and efficiency of the Ministry/Department.
Minimum Qualifications
- Associate’s Degree in Business Management, Administration or related field
- Three (3) years’ working experience
- Excellent time management, coordination and scheduling skills
- Must be able to maintain strict levels of confidentiality and demonstrate values and principles of integrity
- Excellent oral and written communication skills
- Sound knowledge of Government policies and procedures
- Sound critical thinking skills
- Excellent interpersonal skills
- Sound oral and written communication skills
- Ability to efficiently utilize appropriate technology and GPS system
